How to sound more confident in emails
Five habits to make every email land clearer and stronger:
- Ask in the first line. Don't bury your request under context. "Can you approve by Friday?" in sentence one, then the reason.
- One apology max, and only for a real mistake. If you didn't miss a deadline or send the wrong file, don't apologise.
- Cut "just", "I think" and "maybe". These soften every sentence. Reread and delete them. Your point will sound stronger without changing the meaning.
- Use dates and numbers. "Can we meet this week?" becomes "Can we meet Thursday at 2pm?" Specificity sounds confident.
- Close with a clear next step. Not "Let me know if that's okay", but "Can you confirm by Wednesday?"
How to stop apologising in emails
| Instead of... | Say... |
|---|---|
| "Sorry for the delay" | "Thanks for your patience" |
| "Sorry to bother you" | Delete it entirely |
| "Sorry if this is a dumb question" | "Quick question:" |
| "Sorry, but I think..." | State the fact |
| "My bad" | "I missed that. Fixed now." |
| "Apologies for the late reply" | "Thanks for waiting. Here's the answer." |
Professional email phrases to avoid (and what to say instead)
| Avoid | Say instead |
|---|---|
| "Per my last email" | "To recap:" |
| "As previously mentioned" | "Here's where we are:" |
| "You always" / "You never" | Name the specific instance |
| "Obviously" / "Clearly you" | Delete it |
| "You need to" | "Could you" |
| "I'm not sure why you" | "Help me understand" |
| "Does that make sense?" | "What questions do you have?" |
| "No worries if not" | Delete it or set a deadline |
| "Let me know if that's okay" | "Can you confirm by [day]?" |
| "Thoughts?" | "What do you think?" (with context) |
How the checker scores your message
The checker starts at 100 and applies transparent penalties:
- Each hedge ("just", "I think", "maybe"): −6 points (cap −36)
- Each excess apology beyond one real mistake: −8 points (cap −24)
- Each hard blame word ("per my last email", "you never"): −12 points (cap −36)
- Soft blame ("you need to"): −4 points
- Exclamations or ALL-CAPS over the limit: −3 each (cap −9)
- Message outside the length target for your channel: −5 to −15
- Sentences averaging over 25 words: −4 each (cap −12)
- Buried ask (not in first two sentences): −10
- Closing hedge ("Does that make sense?"): −5
Bonuses: ask in the first sentence (+5), includes date/time/number (+3), uses "thank you" instead of "sorry" (+3).
85+ = SEND IT. 65–84 = ONE MORE PASS. <65 = REWRITE.
Clear on paper, harder out loud
This tool helps you spot the patterns in writing. The real test is whether you can say it to their face without hedging. For that, you need practice — the kind where someone pushes back and you have to hold your ground. Try a free iGrow rehearsal to train for the conversation behind the message.
